Get Your Ducks in a row

A messy desk, disorganisation and lost paperwork are irritating and annoying, but they are also bad for business. If you can’t find what you need it looks bad on you in front of the client, but it also slows you down; if everything is easy to find or to hand you will be able to get your work done much faster and more effectively.

You may think you don’t have time to organise your office space and get your ducks in a row, but when your ducks are in a row you will find you work much faster and life is much easier – you may even find you have extra time to organise even more areas of the business!

The first thing you want to do is to have a purge; go through every drawer and cupboard to clear out all the things you don’t need, and find the things that should probably be nearer to hand. If there is something in your office covered in cobwebs or dust it probably hasn’t been used in a while, and won’t be used for a while so chuck it.

Everything needs to have a space; normally this will be your desk for where the work is done. On top of this you need a reference area where you can find files, store contracts and keep receipts for example. Then have another place for supplies such as paper, pens, marketing materials and so on. Each day check your desk and if there is stuff on your desk that should be in another area then move it.

Have a folder for meeting notes; each client has a file and in each file are notes from all the meetings you have had with them. As the business grows have separate folders for existing, potential and past clients, and then break down alphabetically as the business grows even more. This will stop you wasting time going through sheets of paper and notepads to see exactly what it was that Client XYZ wanted to see in 6 months time.

Check that to-do list. Look at the things on your to-do list and see what can be done. If there are things that have been on your to-do list forever, or have moved from one to-do list to another many times, then get rid. This is something that you either don’t have the time to do, don’t want to do it and have been putting it off, or you’re not sure how can do it / if you can do it well. This is a job to be outsourced, or it will always sit on the to-do list.
